General Information

Advance Registration
Pre-register for the conference and save! Register as a group prior to August 26 and receive discounts for multiple registrants. You can still pre-register through Friday, September 2, you just won’t be
eligible for the early-bird registration fee for multiple registrants. After
Friday, September 2, please plan to register onsite at the conference
registration booth in the Exhibit Hall at the Tulsa Convention Center.
Please note that registration fees after August 26 and onsite will be higher. Walk-ins are always welcome.

 

Badge

You can pick up your badge and registration materials at the
conference registration booth during registration times which are listed in the paragraph above. Badges must be worn at all times. They are your admittance to sessions and all other
functions.

 

Conference Hotels

Our headquarters hotel is the Doubletree Downtown, 616 W. 7th,
Tulsa, (918) 587-8000, $109 single / double. The cutoff for our block
of rooms at the Doubletree is Tuesday, August 23.
Space is also available at the Holiday Inn Tulsa – City Center, 17 W. 7th, Tulsa, (918) 585-5898, $80 single / double. The cutoff for our block at the Holiday Inn is Sunday, August 21.
After the cutoff dates for either of these hotels, rooms may not
be available and/or you may pay a higher rate.
In order to pay with a purchase order, you must submit it at the
time you make your room reservation. You can only guarantee your room for late arrival with a major credit card or cash deposit.
When you call to make your reservation, please tell them you will
be attending the Oklahoma Municipal League Annual Conference
so that you will get our designated convention rate.
In order to avoid being charged for your hotel accommodations,
cancellations must be made at least 48 hours prior to your scheduled
date of arrival. Please be aware that you may be charged one night’s accommodation for cancellations made after that date.
Guests wishing to avoid an early checkout fee should advise
the hotel at or before check-in of any change in planned length of
stay.

Directions to the Doubletree Hotel Downtown:
Arrival Directions: South or North – From I-75, take the downtown
7th St. exit. This takes you directly to the hotel at 616 West 7th
St.
East or West – From I-244, connects with I-75. Then take downtown
7th St exit. 8 blocks on left.
Holiday Inn City Center Driving Directions:
North/Highway 75 – Proceed on US Highway 75 South to the 1st
Street exit. Exit 1st Street and travel west to Denver Avenue. Proceed
to 7th and Boulder. Go through the intersection, hotel is on
the right.
East/Interstate 44 – Follow Interstate Highway 44/US Highway
412 West to the junction with Interstate Highway 244 West. Exit
right on to Interstate Highway 244/US/Highway 412 West. Exit to
Highway 75 S. Go to far right lane and exit 7th Street. Continue
down 7th Street to Boulder. Hotel is on the right.
Southeast/Highway 51 – Proceed on State Highway 51 (Broken
Arrow Expressway) West to the Denver Avenue Downtown exit.
Exit right to Denver Avenue and turn right. Go to 8th Street and
turn right. Go to Boston and turn left. Go to Boulder and turn right.
Go to 7th Street. Hotel is right through intersection.
South/Highway 75 – Proceed on US Highway 75 North to the 7th
Street Downtown exit. Exit 7th Street and travel to Boulder. Hotel
is through the intersection of 7th and Boulder in the Northeast
corner.

Youth Leadership
Who will lead our cities and towns in the future? Develop the leaders
of tomorrow by including them in the process today! You are encouraged to invite student leaders from your local high school or college to attend the conference as your guest and learn more about the issues that municipal officials face every day. Their participation now could lead to enlightened citizens of the future who will solve many of the problems that our communities are facing
today. Students will pay only for meals.

 


Oklahomans Helping Oklahomans
Bring your donations of canned goods, boxed meals and other
non-perishables and become eligible to win an Amazon Kindle.
The Oklahoma Gas Association is sponsoring a food drive to benefit the Community Food Bank of Eastern Oklahoma. Located in Tulsa, they distribute food and other grocery items to 450 Partner Programs in 24 counties of Eastern Oklahoma. In turn, those programs collectively feed 60,000 people each week, the equivalent of 865,000 meals per month. In Fiscal Year 2010, the Food Bank distributed 13.5 million pounds of food. For each donated item,
you will receive a ticket for the drawing of an Amazon Kindle. The
more you donate, the more chances you have of winning.
Donate 10 or more items and have your picture taken with the natural gas-powered Chesapeake Chopper.

Attention Mayors
If you are planning to attend the Mayors Council of Oklahoma
breakfast on Wednesday, September 14, please note that there
is a separate charge for that breakfast.

If you are planning to attend the CMAO breakfast on Wednesday,
September 14, please note that there is a separate charge for
that breakfast.

The Exposition
The Exposition is your “one-stop municipal shopping center” for
information on diverse services and products, including: computer
software, engineering services, management consulting services,
office furniture, street maintenance equipment, pipeline reconstruction,
waste disposal, environmental testing facilities, retirement plans and much, much more.
Tell your purchasing director and public works director there is no charge to visit the exhibit hall. (They will need to pick up a visitor’s badge at the registration desk in the exhibit hall at the convention center.)

Share & Brag
According to Oklahoma Tourism’s website, there are 713 music and art festivals, rodeos, powwows, food extravaganzas and hometown fairs being held in Oklahoma throughout the year.
Since the theme for the Annual Conference this year is “Festival
Oklahoma: Sellabrating Who We Are” we thought this would be the perfect opportunity for you to show off your festival or event.
You are invited to participate by renting a booth space where you
can display information about your particular events as well as what is happening in your community. You can brag about your festival or fair and show off any new retail projects that have been accomplished or that are in the works. Have you found ways to
save money and to do more with less? Then share that information
with your counterparts in other communities. “Sellabrate” what
is unique about your community by sharing information and ideas
which will benefi t everyone.


Innovations Award
Has your town or city found a unique way to address a need or solve a problem in your community; saved the taxpayers’ dollars; found an innovative way to use citizen volunteers; kept a program
going through innovative means despite federal / state funding
cuts; or displayed a true intergovernmental approach to a regional problem? Then we want to hear about it! For information on submitting an entry, check out our conference website at http://www.

Conference Attire
Casual business attire is appropriate for all meetings and events.
Attire for the Thursday Banquet and Hall of Fame Awards is black tie optional. The meeting rooms may be cool so plan to bring a sweater or jacket. And most importantly, bring a comfortable pair of walking shoes.

How To Get There
Please check the OML website, www.oml.org, for directions on how
to get to the hotels and the convention center.

Parking
For those of you who will be driving in from the Tulsa metro area and not staying at one of the hotels, the Civic Center parkade is conveniently located north of the Tulsa Convention Center on 3rd Street, between Houston and Denver, and is connected to the Convention Center through a covered walkway. Parking is currently $8 per car, per day, per in and out. The parkade is owned and operated by American Parking and has 1,395 spaces. There
are 10,000 parking spots within a short 10-minute walk!

 

On-Site Registration

Registration will be available in the Exhibit Hall at the Tulsa
Convention Center 2:00 – 5:00 p.m. on Tuesday, September 13, 8:00 a.m. – 5:00 p.m. on Wednesday, September 14 and 8:30 a.m.– 2:00 p.m. on Thursday, September 15.

 

Substitutions

If you register but are unable to attend, OML will accept a substitute
at no additional cost to you. Just let us know by fax, (405)528-7560,
or by letter no later than Friday, September 2..

This preconference session will offer iPad apps training for business
as well as showcase the newest personal apps and hottest
peripherals. Apps for paperless agendas, Offi ce, GIS and other
great money-saving tools will also be shown.

OGITA Training
The Oklahoma Government Information Technology Association
is holding its annual conference in conjunction with the OML conference this year. Stay up with the latest trends in technology by
attending OGITA’s track of sessions which include Using Social Media in Government: Facebook/Twitter 101; iPads/Laptops in Government: Overview of Agendas, GIS, and other Mobile Apps; Oklahoma Archiving & Publishing Requirements; Microsoft Office
101 and Oklahoma Current Trends in Technology.

 

Attention Council Members and Municipal Staff

Whether you serve on a council, are a department head, management
assistant or fill another role in city government, the conference is designed to give you many usable ideas and valuable contacts in a short period of time. You will find sessions of interest each day, or you may select just those sessions of specific interest to you and register for that day only. Plan to participate!

OML Annual Business
Meeting & Awards Breakfast

During the Annual Business meeting on Thursday morning, voting
delegates will elect officers for 2011 – 2012 and adopt resolutions
for the coming year. Each OML-member municipality is entitled to ne vote during the business meeting. The mayor or his designee
is the voting delegate and one additional person must be designated as the alternate voting delegate. Please indicate on the
registration form who the selected individuals are by checking the
appropriate boxes.
After the business meeting, municipal officials who have made outstanding contributions to municipal government in Oklahoma will
be recognized. Awards presented during this annual event are:

  • Certified Municipal Official Graduates
  • Innovations Showcase Awards
  • MCTFOA Member of the Year Award
  • City Manager of the Year Award for cities to 6,500 population
  • City Manager of the Year Award, above 6,501 population

captures the history and preserves the legacy of municipal public service in Oklahoma. Those who will be inducted into the Hall of Fame are being recognized for significant contributions to local government not only for their own community but also for their contributions to local government beyond their community. Certified Municipal Official (CMO)
Municipal officials and employees need a tremendous amount of
knowledge to run a municipality, and they must make a serious commitment to investigating issues affecting local government. The
Oklahoma Municipal League established the Certified Municipal
Official Program to recognize those municipal officials who seek to become more informed so that they can better serve their communities
as well as municipal government as a whole.  At the conference, those working toward the CMO designation can earn one hour of credit for each hour of classwork attended.

 What the Registration Fee Includes

  • FULL REGISTRATION: Includes Wednesday sessions, lunch and reception; Thursday breakfast, sessions, lunch and banquet. Does not include Preconference Workshop, Postconference Workshop, Golf Tournament, OAMA Fall Workshop, MCO or CMAO Wednesday breakfasts.
  • ADVANCED GROUP MEMBER REGISTRATION DISCOUNT: This promotion applies to municipal offi cials only and only when the officials register AS A GROUP. Registrants will receive the same package benefits as full registrants. The first registrant will be charged the full package price, second to fifth registrants are entitled to a 20% discount. The sixth plus registrants are entitled to a 25% discount. (Example: 1st registrant = $250; 2nd – 5th = $200 each; 6th+ = $187.50 each.) Registrations must be received by Friday, September 2 to take advantage of the discount. After September 2, the discount no longer applies.
  • WEDNESDAY CONFERENCE REGISTRATION: Includes sessions, lunch and exhibit hall reception.
  • THURSDAY CONFERENCE REGISTRATION: Includes awards breakfast, sessions, lunch, reception& banquet.
  • HALF-DAY CONFERENCE REGISTRATION: Includes morning OR afternoon sessions only. Lunch is the only meal included.
  • SPOUSE / GUEST REGISTRATION: Includes Wednesday lunch and reception; Thursday breakfast, lunch and reception & banquet. The fee also includes attendance to all sessions.

PLEASE NOTE: If you are a municipal official or a city/town employee and plan on attending sessions and meal functions, you will be expected to pay a full delegate registration fee. Meal ticket prices are intended for those who plan to attend the meal functions only. Spouse/guest registration is for spouses and guests only, not for municipal officials and employees.

CANCELLATION POLICY: Because of requirements for advance
attendance guarantees for meal functions, cancellations IN WRITING
must be received at OML offices by September 2 at 5:00 p.m. to
entitle registrants to a full refund of fees. Cancellations received after
that date and before September 9 will receive only a 50% refund.
No cancellations will be honored after September 9.
